Guide Invoices & Expensing

Invoices and Expensing Scholarly

Most people paying for Scholarly are paying for it to do work, and work usually means a finance process: an invoice with the company's name on it, a tax ID for the VAT return, and someone who has to approve the spend. This page covers all three.

Putting Your Company on the Invoice

Scholarly's checkout can bill you as a business rather than as a person. On the payment screen, fill in the optional fields:

  • Company name — what the invoice is addressed to.
  • Tax ID — VAT, GST, ABN, or whichever your country uses. Pick the type and enter the number.
  • Billing address — the address the invoice should carry.

Whatever you enter lands on the invoice for that payment and on the ones after it, so you only do this once. Leave the fields blank and the invoice is addressed to you personally, exactly as before.

If you already subscribed without filling them in, email hello@scholarly.so with the details and we will reissue the invoice.

What the Payment Screen Tells You

Before you pay, the line above the pay button restates exactly what you are buying — the plan, whether it is billed monthly or yearly, how many AI Creation Credits each week that plan includes, and that you can cancel any time from Settings. No surprises, and nothing to work out from a line item.

A promotion code you bring to checkout is applied directly. The optional code field appears for eligible promotional channels; it is hidden for ordinary checkout visits.

Downloading Invoices

Go to Settings → Billing. Every past payment is listed, and clicking one opens its invoice to view or download as a PDF. That is the document your finance team wants: amount, date, plan, tax, and your company details if you entered them.

Getting It Approved

If someone has to sign off before you can buy, the plan screen has an Expensing this? Email your manager link. It opens a draft in your own mail client, already written:

  • a one-line explanation of what Scholarly is and what it does with your team's existing documents, recordings, and notes;
  • the Premium monthly and yearly prices and Laureate monthly price you were just shown, in your currency;
  • the fact that the invoice can carry your company name and VAT or tax ID;
  • a link to the public pricing page so your manager can check it themselves.

Edit it however you like before sending — it is a draft in your mail client, not a message Scholarly sends. Nothing is shared with us when you use it.

Worth adding to that email

Three things tend to decide the approval, and they are specific to your situation rather than the plan:

  • The material you would point it at. "Our onboarding handbook and the recorded product trainings" is a stronger case than "an AI tool".
  • What replaces what. A video lecture or an SOP made from a document you already own is work somebody is otherwise doing by hand.
  • Yearly, if the budget runs annually. Where yearly billing is available, the plan screen shows the saving and you get one invoice instead of twelve.

If You Are Buying for a Group

A Scholarly Teams workspace is one bill for every seat, not one invoice per person — usually the easier thing to get through finance.

  • Checkout shows the plan, seat count, billing period, and total before payment.
  • The team's billing history lives under Team → Billing, including any credit packs an Owner or Admin bought for a member.
  • Teams is self-serve for 1–29 seats. For more seats, or if you need invoicing, a purchase order, or a procurement review, get in touch from the Teams page.

Security and data questions that come up in a procurement review are answered in Data, Privacy, and Model Controls in Teams.

Common Questions

Can I switch from a personal plan to a team bill? Yes. Set up a team workspace and buy seats; your personal subscription is separate and can be cancelled once the seat covers you.

Can I pay by invoice or bank transfer instead of a card? Self-serve checkout takes credit and debit cards. For invoicing or a purchase order, contact us from the Teams page.

Is tax included in the price shown? Check the checkout total and invoice for the amount charged and any tax applied. Enter your business tax ID for invoicing; contact hello@scholarly.so if your finance team needs clarification.

Do I get a receipt automatically? Yes — every successful payment emails a receipt, and the full invoice is always available under Settings → Billing.
