The table groups apps by task. An app that stores tutorial notes well may be a poor choice for learning biochemistry pathways. A slide generator may be irrelevant when tomorrow’s task is a closed-book pharmacology quiz.
University study has different needs from HSC and VCE
School and university study involve different constraints. A Year 12 student preparing for the HSC in NSW or the VCE in Victoria has a syllabus, prescribed assessment structure, and school-controlled expectations. A university student has units or subjects, lectures, tutorials, labs or pracs, a unit outline, and assessment rules that can change from one subject to the next.
That difference matters for AI. At uni, one course convenor may allow AI-assisted brainstorming with acknowledgement while another assessment prohibits generative AI entirely. The national regulator, TEQSA, tells students to check their institution’s instructions because permitted use can vary by discipline and assessment task. Its current artificial intelligence advice for students also warns that use outside those rules can become academic misconduct.
Begin your Semester 2 setup with three documents:
- the unit or subject outline;
- the assessment instructions and marking criteria; and
- your university’s current AI and academic-integrity guidance.
Use AI to help you learn only within those boundaries. Submitted work needs its own permission.
1. Echo360 and Panopto: best for the official recording
If your lecture is already captured through Echo360 or Panopto, start there. The university-controlled version is the authoritative copy: it may include the lecturer’s slides, a searchable transcript, captions, chapter markers, and access limited to enrolled students. Check the LMS before creating another recording.
Use lecture capture as a source. Watching a 90-minute lecture again from beginning to end can help when you missed the class, but it is a slow way to find the five concepts you do not understand. A better workflow is:
- skim the recording’s transcript or captions;
- find the section connected to the gap in your notes;
- rewatch that segment with the relevant slide or reading open;
- write an explanation from memory; and
- test yourself with a question that does not show the answer.
The University of Wollongong’s current Lecture Recording Procedures are a useful real-world example. UOW describes recordings as supplemental study material and expects students to attend scheduled classes. It also says students must not share, alter, or make a recording available to others, and notes that recordings may contain students’ voices, names, opinions, or likenesses.
Each Australian university sets its own rules. Check yours before moving a recording out of the approved platform. 2. OneNote, Notion, NotebookLM, and Scholarly: different kinds of notes
“AI notes” can mean three different jobs:
- capture: writing what happened in a lecture or tutorial;
- organisation: keeping topics, readings, links, and tasks findable; or
- transformation: turning a source into a shorter explanation, questions, or another format.
OneNote and Notion are strong at the first two jobs. You control the page structure, add your own explanations, and build a subject hub that lasts all semester. Their flexibility is an advantage when your notes include hand-drawn diagrams, maths, code, lab observations, or tutor feedback.
NotebookLM and Scholarly are more relevant to the third job. They answer questions from sources you provide, which keeps the work tied to your lecture. Scholarly can carry the same source into notes, flashcards, a quiz, audio, slides, or video for active study.
A combined workflow:
- write the few ideas that matter during class in your own words;
- keep those notes in the system you will actually reopen;
- use AI after class to expose gaps or restructure difficult source material;
- merge only the verified, useful output back into your notes.
Keep taking your own notes. A transcript records what was said; understanding still takes active work.
3. Anki, Quizlet, and generated flashcards: best for different levels of control
Choose Anki when the scheduling system itself matters to you. It suits students who want granular control, are prepared to edit cards, and intend to keep a deck across months or years. That can be valuable in medicine, languages, law, accounting, anatomy, and other cumulative areas.
Choose Quizlet for speed and familiarity. It is straightforward for building a set, sharing ordinary non-confidential material with a study group, and running a quick test before a tutorial.
Choose generated flashcards when card creation is the bottleneck. Turning a 70-slide lecture into a first draft of cards can save setup effort. You still need to delete trivial cards, split cards that ask for six facts at once, fix terminology to match your unit, and add source pages or slide numbers where they help you verify answers.
Use generated quizzes to practise retrieval. They can show what you cannot yet explain, but they cannot predict your examiner’s questions. Treat the unit outline, learning outcomes, tutorial problems, and past or sample exams supplied by the uni as stronger evidence of scope.
4. NotebookLM and Scholarly Podcasts: best for study you can hear
Audio is useful when your eyes are unavailable: on a train, bus, walk, or between shifts. It is also useful when hearing a concept explained conversationally helps you build the broad structure before returning to detail.
NotebookLM’s Audio Overviews are a sensible choice when your sources already live in a NotebookLM notebook and you want a conversational overview. Scholarly’s podcasts feature is a good fit when audio is one part of a broader revision workflow. Scholarly podcasts use three roles: Alex hosts, Sam produces, and the Guest brings subject expertise. A source-based episode can sit alongside flashcards and quizzes generated from the same material.
Keep the original source open. Pause when you hear a precise statistic, definition, legal rule, equation, drug detail, or quotation, then find it in the original. Audio can smooth over uncertainty in a way that sounds convincing.
For Semester 2, try audio on one dense reading first. If you cannot state three things you learned after listening, the format may be too passive for that topic. Switch to questions or worked problems.
5. AI slides and video lectures: best when the structure is visual
Poor source structure makes some topics harder. A long PDF may bury the sequence. A lecturer’s deck may be a set of prompts that only made sense with spoken explanation. Rebuilding the material as a visual walkthrough can expose the logic.

Canva, Gamma, or PowerPoint may be the better final tool when the job is to design and edit a presentation for an audience. That is a different task from studying. If it is an assessed presentation, follow the assessment’s AI rules for both the words and visuals.
6. Semester 2 planning: build the system before the backlog
The middle of the Australian academic year creates a particular trap. Semester 2 starts with good intentions, then recordings and readings pile up while group work, placement, and mid-semester assessments compete for time. By SWOTVAC or STUVAC, the backlog is too large to “catch up” linearly.
Set up a weekly loop in the first fortnight:
- Before the lecture: preview headings and write two questions.
- Within 24 hours: repair your notes and mark anything unclear.
- Within 48 hours: create or edit a small set of recall questions.
- At the end of the week: answer those questions without notes.
- On Sunday: schedule the next review and check upcoming assessments.
Use the SWOTVAC study planner when you reach the exam block, but feed it real constraints: exam dates, assessment weighting, hurdle requirements, work shifts, placement days, and topics exposed by practice questions. A timetable is useful only when it responds to your evidence.
7. Placement and professional courses: privacy comes first
Health, education, psychology, social work, law, and other placement-based courses create material that ordinary app comparisons ignore. A reflection can contain a patient story, a child’s circumstances, a client matter, a workplace incident, or information protected by a placement agreement.
Removing a name may not anonymise the material. A combination of location, date, role, unusual event, and clinical detail can still identify someone. Keep sensitive cases out of consumer AI tools unless your institution and placement provider have explicitly approved the system and the exact use.
Use public or approved unit material to practise frameworks instead. The Australian National University’s current student guide to using generative AI explicitly advises students not to enter personal information or unpublished research into systems that may create privacy or data-use risks. The University of Western Australia’s current AI assessment guidance says coursework students may use AI in an assessment only where their Unit Coordinator explicitly permits it, with citation and acknowledgement where required.
Those examples apply only to the named institutions. Your own uni, school, unit coordinator, and placement agreement govern your situation.
A practical source-verification routine
AI output should lead you back to evidence. Use this check before adding generated content to study notes:
- Mark every checkable claim. Names, dates, definitions, formulae, thresholds, quotations, cases, and causal claims all count.
- Locate the original passage. Use the lecture timestamp, slide number, PDF page, prescribed reading, or official source.
- Compare the full meaning. Check conditions, exceptions, units, negatives, and whether the source is describing correlation or cause.
- Correct the generated artefact. Edit an editable note, card, or transcript directly. For Scholarly's generated PDF slide deck, correct the source or instructions and regenerate it, or move the verified content into an editable presentation tool.
- Keep the citation beside the claim. A link or page number is most useful at the moment of revision.
ANU’s guidance tells students not to accept generated information without verifying it against source material. That advice applies even when AI use is permitted and even when the answer sounds certain.
Methodology
This guide groups tools by common university study jobs. We reviewed the public capabilities and intended uses of the named categories, checked Scholarly’s current feature behaviour, and used primary Australian sources for academic-integrity, privacy, and lecture-recording boundaries: ANU, UWA, UOW, and TEQSA.
The comparison asks four questions:
- What source does the tool start with?
- What study action does it make easier?
- Can the student verify the output?
- What permission, privacy, or assessment boundary applies?

Limitations
Product features and university policies can change after July 29, 2026. Echo360 and Panopto are configured differently by each institution, so a feature available at one uni may not appear at another. AI output quality varies with the source, scan quality, subject, language, and requested task. Accessibility needs also differ; captions, keyboard access, screen-reader behaviour, playback controls, and disability adjustments should be evaluated separately from headline AI features.
This article cannot determine whether AI is permitted in your assessment, whether you may copy a lecture recording, or whether placement material can enter a particular system. Check the current unit outline, LMS notice, university policy, and placement agreement. Ask your course convenor or accessibility service when the answer is unclear.
The practical recommendation
A practical Semester 2 setup can keep the apps you already trust. Leave the official lecture source in Echo360, Panopto, or your LMS. Add active recall. Use AI where it removes a real bottleneck: transcribing a recording you are permitted to use, turning a dense reading into questions, creating a first draft of cards, or explaining the same source in audio or visual form.
Start with one difficult unit and one source.
